Administrative Settings

In THEMIS RM, a records manager can set-up a record crawler job that indexes records and cases into THEMIS. A records manager can also set-up automatic record declaration and classification. Automatic record declaration allows THEMIS to declare documents as records based on a given metadata. Automatic classification allows THEMIS to classify records and cases in custom file plans based on a given location or content type. The benefit is that we no longer have to migrate our files or manually declare and classify them.

In THEMIS RM, a records manager can create custom file plans with retention rules and disposition workflows. When creating a file plan, a records manager can set retention rules that indicate how long records and cases must be retained and whether they should be transferred or disposed after their retention period ends. A records manager can also create a disposition workflow that requires a reviewer and one or more approvers to properly disposes records and cases. The benefit is that we can create retention rules and disposition workflows that comply with our organization’s policies.

Retention Rules

In THEMIS RM, a records manager can view all of their file plans and manage all of their records and cases. A file plan houses the retention policy and disposition workflow for records and cases. Under a file plan, a records manager can move records into different file plans, add legal holds to records and cases, close and reopen cases and convert records back into documents. The benefit is that we can manage all of our records and cases from multiple locations in a single place.

Manage Records

Disposition Workflow

In THEMIS RM, a disposition workflow is the process of reviewing and approving records and cases for disposition. It involves a records manager, an assigned reviewer and one or more assigned approvers. When records and cases are ready for disposition, a records manager can create a disposition report for them. Following, they will be reviewed by an assigned reviewer and one or more assigned approvers. Once approved, a background job will dispose them and generate a destruction certificate. The benefit is that we can protect our organization in case of legal action or an audit.
